Stop Wasting Time: How a Simple Agenda Can Revolutionize Your Meetings
(and help your team actually get things done!)
Jan 17, 2025

Picture this: You're in a meeting, supposedly about the new marketing campaign, but somehow the conversation has drifted to Dave's cat's latest antics, then to the merits of pineapple on pizza, and finally to whether Arsenal really do always try to walk the ball in. Sound familiar? We've all been there.
It's little wonder that so many of us dread meetings. In fact, a Harvard Business Review survey found that a staggering 71% of senior managers consider meetings unproductive and inefficient. The senior managers. The ones with the actual power to change how the meetings are run! If 71% of them know their meetings suck, what hope do the rest of us have!
But what if I told you there's a simple yet powerful tool that can transform your meetings from dreaded obligations into focused, productive sessions? Enter the humble agenda.

Why the Fear of the Agenda?
After years of running meetings and events at organizations like Google and Shopify, I've encountered a surprising resistance to agendas. Some perceive them as overly formal, rigid, or even a buzzkill. Others simply don't see the point, believing that a free-flowing discussion is always best.
But here's the thing: a well-crafted agenda is not a constraint; it's a liberator. It frees your meetings from the frustrations of tangents, wasted time and unclear outcomes. It's about providing a roadmap, a shared understanding of where you're going and how you're going to get there. Think of it as the GPS for your meeting, guiding you toward your desired destination.

The Staggering Cost of Skipping the Agenda
The consequences of not using an agenda can be severe. Let's be honest, when a meeting lacks direction, what do we do? We zone out. We multitask. A recent study showed that 75% of people spend time in meetings catching up on news, online shopping, video games, social media and even their sleep!
Without an agenda, meetings become breeding grounds for:
- Wasted Time: Discussions spiral out of control, important topics get sidelined, and decisions are rarely made. It's like watching a hamster on a wheel – lots of activity, but no real progress. It's no wonder that 39% of people admitted to having dozed off in a meeting.
- Frustration and Disengagement: When meetings lack purpose and direction, attendees become understandably frustrated. They disengage, start checking their phones, or mentally check out altogether. Numerous studies have shown a correlation between an employee's attitude towards meetings and their overall job satisfaction.
- Missed Opportunities: Without a clear focus, meetings fail to achieve their potential. Great ideas get lost in the shuffle, crucial decisions are postponed, and team cohesion suffers. It's a missed opportunity to collaborate, innovate, and move the needle forward.
And there's a real cost to this Ineffective meetings lead to lower productivity, lower market share, lower staff morale. It is also a huge drain on your budget, a 2021 study suggested that UK businesses could be losing a collective £26 billion each year to ineffective meetings!

Crafting Agendas That Work
So, how do you create agendas that are not just pieces of paper, but powerful tools for productive meetings?
- Start with the "Why": Before you even type a single word, ask yourself: Why are we meeting? What do we need to decide, create, achieve or discuss? State it clearly and concisely at the top of your agenda. This is your meeting's headline, its lead story.
- Prioritize and Time-Box: What are the key topics that need to be discussed or acted upon to achieve your purpose? Allocate time to each, the more vital the topic, the more time it gets. This "time-boxing" technique keeps the discussion focused and prevents any one topic from hijacking the entire meeting.
- Invite Judiciously: Think carefully about who really needs to be at this meeting. A smaller, more focused group is often far more effective than a large, unwieldy one. Remember the saying, "Too many cooks spoil the broth?" The same applies to meetings.
- Distribute in Advance: Give your attendees the gift of preparation. Send out the agenda well in advance of the meeting, allowing them to gather their thoughts, formulate questions, and come ready to contribute meaningfully.
Use it as Your Compass: During the meeting, the agenda is your compass, keeping you on course. If the discussion starts to stray, gently guide it back to the topic.

Conculsion
In the fast-paced world of modern work, where time is our most precious commodity, we can no longer afford to waste it on unproductive meetings. A well-crafted agenda is not a bureaucratic formality; it's a strategic tool that empowers teams to collaborate effectively, make informed decisions, and achieve meaningful results. It's time to ditch the notion that meetings are inherently dreadful and embrace the power of the agenda to transform them into the productive powerhouses they can be.
